Orlando’s Fall Convention Season: The Transportation Playbook

From late September through December, Orlando runs its heaviest convention calendar of the year — back-to-back shows at the Orange County Convention Center, hotel blocks sold out along International Drive, and forty thousand badges all needing a ride at 8:15 a.m. If your company exhibits or attends this season, transportation is the difference between a smooth show and a daily scramble.

Why fall show weeks are different

During a major OCCC show, every ride platform in the city fights over the same cars at the same three rush hours: the morning push to the hall, the 5–6 p.m. exodus, and the dinner shuttle to Restaurant Row and Pointe Orlando. Surge pricing doubles, pickup zones jam, and the twelve-minute hop from a Lake Buena Vista hotel stretches past forty. Scheduled transportation is immune to all of it — the vehicle is assigned in advance, the rate was fixed when you booked, and the chauffeur stages before the rush, not inside it.

The exhibitor playbook

  • Book against the show calendar: move-in day, show days and teardown day each have different vehicle needs — plan all three.
  • Run a morning shuttle loop for the team: one Sprinter on a schedule beats ten individual ride requests every day of the week.
  • Keep one vehicle on wait-and-return for executives who peel off to client meetings mid-day.
  • Ask for the manifest the night before — vehicle, chauffeur, pickup time per group — so nobody texts “where’s my ride” at 7:50.
  • Put every fly-in and fly-out on flight tracking; half the team will change flights during the show.

Client dinners are the real show

Deals close at dinner, not at the booth. A chauffeured SUV that collects your clients at their hotel, delivers everyone together, and waits through dessert says more about your company than the booth graphics do — and nobody ends the night watching a pin drift on a map.

Black Chariot runs convention transportation across Orlando all season — single executive cars to full multi-vehicle programs with one coordinator and consolidated corporate billing. Send us your show dates and headcount at (407) 668-8880 and the movement plan is handled before the crates ship.
